Bookings and your calendar

Work the appointment list

Find today and next week, confirm a booking, cancel one, and read what the status column is telling you.

Updated

The appointment list is where you run the day: what is coming, who it is with, and what still needs a decision from you.

Every row is one booking, and the Channel column tells you how it arrived — Website for a booking a client made themselves, Staff Calendar for one you entered, POS for one taken at the counter. That column is the honest answer to "where did this come from", and it is worth checking before blaming the website for a slot you do not like.

  1. Open Bookings, then Appointments.
  2. Stay on the Upcoming tab for the working day. Past shows what has already happened; All shows everything, including cancelled rows.
  3. Use Search… to find a booking by customer name or by the code in the Code column.
  4. Read the Status column before acting. Confirmed needs nothing from you. Pending and Payment Pending both mean the client has not finished — one has not confirmed, the other has not paid.
  5. Select Confirm on a row that is waiting, or Cancel to release the slot back to the calendar.
  6. Select Send Reminder when a client has gone quiet on a booking that is still on.
  7. Select Edit to change the time, the staff member or the service on a booking that has already been made.

What the booking is worth, before anything taken at the counter

For the shape of the day rather than the list of it, the calendar view under Bookings shows the same appointments laid out against the hours they occupy. The list answers "what is next"; the calendar answers "where is the gap".

A no-show is a status, not a deletion. Mark it and the record stays, which is what makes it possible to notice later that the same client has done it twice.
