Payments and payouts
Refund a payment or cancel an order
Issue a full or partial refund against the payment that was captured, or cancel an unpaid order without touching money.
Updated
A refund and a cancellation are different acts, and Vendzi keeps them apart on purpose.
- Cancel
- For an unpaid order. Releases the stock and coupon it was holding. No money moves.
- Refund
- For money that was actually captured. Creates a linked record against the original payment.
- Open Orders and find the order.
- For an unpaid order, use Cancel and give a reason. The order is cancelled and its held stock is released.
- For a paid order, use Refund. The dialog shows Captured, Refunded, Pending and Remaining for the payment you are refunding against.
- Enter the amount. It cannot be larger than Remaining — the server checks this again when it submits, not just in the form.
- Tick Include shipping only when you are also returning the shipping charge, and give a reason.
- Submit once. The dialog sends one request; if the provider answers slowly, do not submit a second refund.
A refund never puts stock back on the shelf. If the customer also returns the goods, the return has to be received separately — otherwise the stock count starts lying even though the books are right, or the other way round.
Cash, Pay in Store and External Terminal refunds are recorded, not transferred: Vendzi notes the refund you already made in the real world and asks for a reference. Card refunds go back through the provider that captured the payment, in the original currency.
