Accept a return and decide what happens to the stock
Set a return policy, review a customer request, record what actually arrived, and link the refund or replacement.
Updated
A return is a separate decision from a refund. The customer asks, the shop decides, and the stock only changes when the goods are physically received and marked resellable.
- Policy
- Return window in days, allowed reasons, allowed order states and any restocking fee. No policy means no new requests.
- Request
- The customer selects delivered quantities that have not already been returned.
- Decision
- Approve (with per-line quantities) or reject with a note.
- Receipt
- What actually arrived: quantity, condition and whether it goes back to stock.
- Configure the return policy for the shop before announcing returns.
- The customer opens the order and requests a return from the delivered lines.
- In Orders, open Returns for that order and approve or reject the request.
- When the parcel arrives, record the receipt. Only a resellable line marked Restock adds the units back to stock.
- Link the confirmed refund operation to the return, or link the replacement order created through normal checkout.
A return can be received once. Record the full physical receipt in that step; a second receipt will not add stock twice. Replacement orders are ordinary new orders with their own quote, stock and payment, linked to the return for the paper trail.
